Challenge

A U.S. state with more than seven million residents and a wide range of state agencies was looking for ways to drive efficiency across departments. Procurement was an obvious place to start: their contract documents, RFP, RFIs, and SOWs were all done by hand and in Word with no automation. Their team estimated that writing a single award document accurately took more than 40 hours.

Solution

Hazel was selected for a two-month pilot to accelerate solicitation writing. Within the first two weeks of using Hazel, the state was already building requirements for four different procurement documents. Solicitation Builder allowed teams to collaboratively build requirements and generated complete, compliant, downloadable Word documents rapidly. These weren't simple documents either: one template alone contained 102 variables and 678 separate logical permutations. What was once the most error-prone document in the state's process was now the most accurate from the get-go.

Results

Those 40 hours to draft documents dropped to 15 minutes. On average, the State expected a 33% time savings across their procurement documents. Beyond the pilot, Solicitation Builder continues to drive significant cost savings for our state customers.
